General Exhibitor Conditions reg. Scandinavian Maritime Fair 2024

Booking:

1. The booking is binding once the quotation is accepted and hereafter the client is defined as “exhibitor”
2. The exhibitor is liable for stand and registration fees
3. The Scandinavian Maritime Fair reserves the right to relocate an exhibitor to another stand as long as the stand is of same dimensions

Payment:

1. The exhibitor can choose to pay the full stand hire upon booking or agree to the compulsory minimum payment plan:
2. Booking fee when ordering

and 50 % of the stand hire 12 months before +

50 % of the stand hire 6 months before the exhibition

1. If the stand hire is not fully paid 3 months before the exhibition, the Scandinavian Maritime Fair reserves the right to sell the exhibition stand to another company without any compensation to the registered exhibitor
2. Exhibitors are not allowed to rent out any part of the exhibition stand to another company as co-exhibitor without prior permission from the organizer and co-exhibitor is submitted to the following conditions:

1. Co-exhibitors will pay the special registration fee
2. Co-exhibitors will hence be given equal benefits as an exhibitor
3. The Scandinavian Maritime Fair reserves the right to place an exhibitor under a specific category

Operations:

1. Every exhibitor is fully bound to comply with all rules and regulations of Øksnehallen.
2. The Scandinavian Maritime Fair will accept no responsibility for services, supplies and catering delivered directly by Øksnehallen
3. Exhibitors are allowed to bring their own food or drinks to be handed out to visitors, but they are not allowed to accept any payment for this
4. Food preparation must not cause any odours. If in doubt, contact the organizer
5. Exhibitors are not allowed to place any items outside the rented exhibition area

Construction, before, during and after show

1. In general building and breaking down stands are not permitted from the opening of the tradeshow (14.05.24) during official opening hours. 
2. Exhibits may only be removed from the stand during the exhibition by prior permission from the organizer
3. Scandinavian Maritime Fair reserves the right to remove any hazardous materials immediately, without any compensation
4. Technical information and login to the exhibitor’s portal will be issued latest three months prior to the exhibition
5. Ordering technical supplies after deadline may involve an extra fee to cover administration and overtime
6. Maximum height of stand is 3 m. Permission to build higher than 3 m can be obtained from the organizer
7. Some stands have weight restrictions. If you plan to display individual items above 200 kg please contact the organizer to ensure that it is allowed

Cancellation:

1. If an exhibitor is not able to participate in The Scandinavian Maritime Fair, they remain bound to pay the stand hire and registration fee. The Scandinavian Maritime Fair is free to dispose of the area which becomes available as the result of an exhibitor’s withdrawal without any compensation to the registered exhibitor
2. The Scandinavian Maritime Fair reserves the right to cancel the Fair due to substantive grounds, such as an unreasonably low number of registrations by exhibitors or visitors. In this case, the stand hire will be refunded. There will be no refund for any other costs incurred by exhibitors
3. Force Majeure: The Scandinavian Maritime Fair shall not be liable for any failure of delivery or delay in the performance of this Agreement for the period if such failure or delay results from causes beyond its reasonable control

1. In the event of a possible liability incurred by the exhibitor, the Scandinavian Maritime Fair will not accept any liability in any circumstances for any indirect losses suffered by the exhibitor
2. The Scandinavian Maritime Fair accepts no liability for any errors in any printed material
